Meeting Minutes

Publicity
Amy T.
reported that the end-of-year nondiscrimination policy notice ad ran in the Washington
Post in late December. All member schools are to be sent notification, including a
copy of the ad.
Treasurer’s Report
Emily said
our tax ID issue should now be resolved. (She received assistance from another state’s
CPC.)
Emily
reported that she recently received a new notice from our bank regarding the
need to file another specific IRS form. Emily is working on this issue.
Membership
Amy R.
reported that membership directories have been printed and mailed. One
directory was returned due to an incorrect address; Amy is looking into this.
Amy is
currently speaking with a previous VCPC member school that is interested in
re-joining. She is also working on updating a standard marketing letter to send
to potential member schools.
Personnel
Sandra discussed
a regular, local, monthly directors’ group with has been meeting for the past
few months. This is not currently a VCPC-sponsored event, but we discussed the
possibility of VCPC becoming involved in some capacity: posting dates and
locations on calendar, providing refreshments, inviting speakers, etc. We agreed
this is something we would be will to do, but no next step was determined.
Spring Directors’ Forum
Our Spring
Directors’ Forum is scheduled for Friday, March 11, at 10 a.m. at Providence
Presbyterian Church. We discussed changing this to a general Spring Forum
(everyone invited) -- in light of the monthly directors’ meetings that Sandra
discussed. Sandra said she would get feedback from that directors’ group -- and
get back to Heidi after the weekend.
Heidi will
send email invitations to VCPC schools next week.
Emily agreed
to bring refreshments to the forum.
Open Secretary position
Amy T. sent
an email to member schools in the fall, looking for help filling this position.
We did not get any replies. We discussed the need to contact a few schools
directly. Amy R. offered to get in touch with Rock Spring to see if they have
any interest in providing someone for this position.
Member
schools receive a 50% discount on VCPC annual dues when a member from their school
sits on the VCPC board. We discussed that if the secretary position were filled
soon, the sponsoring school would still be eligible for the discount for
2010-2011.
Heidi agreed
to do the minutes for today’s meeting.
VCPC Email List
We discussed
a seeming lack of response on the VCPC schools email list. It was suggested
that we need to encourage schools to have all board members, etc. join the
mailing list. We discussed including this as part of our membership update
request.
Spring Awards Luncheon
The Spring
Awards Luncheon is scheduled for April 28 at Providence Presbyterian Church.
Heidi will
send an email to member schools reminding them to select awardees and send us
the names, so that we can prepare certificates. Schools can select up to two
awardees -- but no more than two. Usually schools select one teacher and one
parent, but it can be two teachers or two parents. Sandra would like to receive
the names of the selected awardees by April 14th (via mail or
email.)
We will
finalize plans for food, decorations, etc. at our April 11 board meeting.
Legislation
Heidi
reported that she updated our contact information with the Virginia Department
of Social Services, Division of Licensing Programs, providing them with Julie
Wiggins’ email and phone number (in place of Heidi’s.) Heidi also sent Julie
the link so she can subscribe to the VDSS email list to receive legislation
updates and information.
Our next event is the Spring Directors’
Forum on Friday, March 11, at 10 a.m. at Providence Presbyterian Church.
